Policy brief & purpose

This policy outlines the guidelines for reimbursing W2 part-time employees for completing required training courses through EasyLlama.

Scope

This policy applies to all W2 part-time employees who are required to complete mandatory training courses such as Harassment Prevention and Bystander Intervention Training.

Reimbursement Guidelines

  • Employees will be reimbursed at their state or local minimum wage rate, whichever is higher, in compliance with applicable state and local laws.

  • Reimbursement will be processed through the weekly payroll system.

  • The number of compensable hours will be based on the completion time for each required training course.

  • We understand that completion times may vary slightly; however, extended durations beyond what is typical may be reviewed to ensure consistency and proper use of training hours.

Process

  • Upon completion of the required training course(s), the time will be automatically tracked through the EasyLlama system.

  • The tracked training hours will be reviewed and processed for payment in the next weekly payroll cycle.

  • Payment will appear as a separate line item as “TRAINING” on the employee's regular paycheck.

Eligible Training Courses

This policy applies only to mandatory training courses required by the company or by law, including but not limited to:

  • Harassment Prevention Training

  • Bystander Intervention Training (where required by local law)

  • Other state-mandated compliance training

Non-Eligible Training

This policy does not apply to:

  • Optional professional development courses

  • Training courses not explicitly required by the company or law

  • Incomplete training sessions

The company reserves the right to modify this policy at any time to ensure compliance with changing laws and regulations.
